Quickkeeper ("Quickkeeper", "we", "us") is a bookkeeping and financial services firm based in the State of Kuwait. This Privacy Policy explains how we collect, use, share and protect personal and business information when you visit quickkeeperkw.com, contact us, or use our services.
02Information we collect
We collect only what we need to serve you:
- Contact details — your name, company name, phone/WhatsApp number, email address and job title.
- Business and financial records you send us to perform our services — for example invoices, receipts, bank and card statements, sales reports, payroll information, and details of your customers and suppliers. These records may include personal data about third parties (such as employees or customers).
- Accounting system access — when you engage us, access to your QuickBooks Online company or other systems you authorise.
- Communications — messages, calls and emails you exchange with us, including WhatsApp conversations.
- Website technical data — standard information such as IP address, browser type and pages requested, recorded automatically by our hosting provider's server logs for security and performance.
03How we use your information
- To provide our services: recording transactions, reconciling accounts, and preparing financial reports.
- To communicate with you about your books, questions and requests.
- To prepare proposals, invoice our fees and manage our relationship with you.
- To meet our legal, regulatory and professional obligations.
- To protect our systems, prevent fraud and improve our services.
- To send you occasional updates about our services, only where you have agreed or where permitted by law. You can opt out at any time.
We do not sell your information, and we do not use your financial records for advertising.
04AI-assisted processing
To work faster and more accurately, we use AI-assisted tools to read documents (such as receipts and statements) and prepare accounting entries. Every entry is reviewed by a member of our team before it is posted to your books. We do not use these tools to make decisions that have legal or similarly significant effects on you without human review. Where the provider offers the option, we configure these tools so that your data is not used to train their public models.
05Who we share information with
We share information only as needed to deliver our services, with:
- Service providers that process data on our behalf, such as Intuit (QuickBooks Online), Google (Workspace and Drive), Meta (WhatsApp Business), our web and email hosting provider, and AI document-processing providers. They may use your information only to provide their service to us.
- People you authorise, such as your auditors, partners or staff.
- Authorities, where we are required to by law, regulation or a court order.
- Professional advisers (for example lawyers or insurers), under confidentiality.
- A successor business, if Quickkeeper is reorganised, merged or sold, subject to this Policy.
06Storage and international transfers
Some of our service providers store data on servers outside Kuwait. When this happens, we rely on providers that apply recognised security standards and contractual protections, and we transfer only the information needed for the service.
07How we protect information
We use reasonable technical and organisational measures to protect your information, including access controls, two-factor authentication on key systems, restricting access to team members who need it, and encrypted connections. No system is completely secure, so we also ask you to send documents only through our official channels listed below.
08How long we keep information
We keep your records for as long as we provide services to you, and afterwards for as long as required by the laws of Kuwait applicable to commercial and accounting records, or as needed to resolve disputes. When your engagement ends, you may ask us to return your records; we will then delete or anonymise copies we are not required to keep.
09Your choices and rights
Subject to applicable law, you may ask us to:
- give you access to the personal information we hold about you;
- correct information that is inaccurate or incomplete;
- delete information we no longer need or are not required to keep;
- stop sending you marketing messages; or
- withdraw consent you have given us, without affecting earlier processing.

10Cookies and website storage
Our website does not use advertising or tracking cookies. It stores a small setting in your browser to remember your preferred language.
11Children
